Purpose of Position:
The Client Services Coordinator will provide exceptional internal sales support to assigned Agents or an assigned Agent team and their clients, through efficient and high quality administrative and general support services. Administrative services may include: presentation support; listing preparation; transaction administration; gathering market knowledge through various internal resources and external resources and coordinating promotional and post sales marketing materials

Summary of Essential Job Functions:

The successful candidate will be able to demonstrate core competencies in the following areas:

Proposals and Presentations
-Assist in the preparation and coordination of listing pitches/presentations and proposals (e.g. responses to RFI’s and RFP’s),coordinate surveys, and provide general marketing support.

Market Knowledge
-Prepare surveys (lease and sales comparables or availabilities)
-Liaise with appropriate departments to obtain data (e.g. finance, marketing, research)

Marketing Support (work with and under the guidance of Marketing):
-Administer, coordinate and edit marketing collateral electronic and social media communications for Agent(s) listings.
-May participate in creation of collateral. Create tour packages for agents and bring packages to full completion including printing, sorting and binding.
-Assist with coordinating marketing campaigns/plans as it relates to Agent(s) listings Maintain property listings on various websites, Update Agents’ recent transactions on Colliers website and other locations as advised
-Maintain records of correspondence, complete marketing update reports and client activity reports, where required
-Liaise with Agents regarding listing inquiries, tour packages, set-up and coordinate tours
-Coordinate smaller scale Agent client and broker receptions

Transaction Administration
-Prepare and facilitate changes of applicable Agent agreements, per direction of Agent
-Update documents as required throughout the transaction and due diligence process.
-May support agent in processing/auditing of trade record sheets.
-Enter required data in centralized database, DTS, etc.

Other and General Administration
-Liaise with clients to coordinate information, organize meetings, obtain required documentation
-Provide general office support (e.g. file management, organizing distribution of marketing efforts, general office maintenance, invoicing and correspondence)
-Support Agent(s)’ database management requirements, including information pertaining to clients, key contacts, and/or prospects; including scheduling meetings and travel.
-Process expense reports according to office procedure
-Provide other office support as required, including covering reception desk as needed; and answering phones as appropriate

The successful candidate will possess the following required degrees, certificates or competencies:
-The successful candidate will have a bachelor’s degree
-Minimum of 2 years of related experience
-Possesses strong computer skills, including intermediate - advanced knowledge of Microsoft Office products such as Outlook, Word and Excel. InDesign experience is considered an asset.
-Experience conducting research using MLS, Costar, and the Internet would be beneficial.
-Experience in the Commercial real estate sector or a related professional services industry is preferred.
-Strong planning and organizational skills; is highly effective at prioritizing tasks and seeing things through to completion
-Demonstrated professional and courteous interpersonal skills (telephone and in-person)
-Is discreet; understands when confidentiality is required
-Demonstrated ability to work under pressure to adhere to deadlines
-High level of energy and initiative
-A quick learner – is able to learn about the company (people and departments) quickly and accurately
-Skilled at applying past learnings and knowledge to new situations
-Works well independently, as well as part of a team
